What is Toastmasters International ???

At Toastmasters, members learn by speaking to groups of people and working with each other in a supportive environment. A typical Toastmasters club is made up of 20 to 30 people who meet once a fortnight for about two hours. Each meeting gives everyone an opportunity to practise:

Conducting Meetings. >>>

Meetings usually begin with a short business session which helps members to learn basic meeting procedures.

Giving Impromptu Speeches. >>>

Members are given the opportunity to present a 2 minutes impromptu speeches on random selected topics.

Presenting Assignment Speeches. >>>

Three or more members present assignment speeches based on the various projects from the Toastmasters International Competent Communicator manuals. Projects cover topics such as speech organization, get to the point, work with words, body language, vocal variety, research a topic, visual aids, persuade with power and inspire the audience.

Offering Constructive Evaluation. >>>

Every assignment speaker is assigned an evaluator who points out the strengths of the speech as well as offers suggestions for improvement.

Congratulations and Great Job Everyone!

Members of TTDI Toastmastsers Club,

First of all, I would like to congratulate Diong Jia Ming, CC and Dr Liang, CC in completing their Competent Communicator manual last night on the 18th November 2009. We have seen tremendous improvement in both of them through out their journey in completing the Competent Communicator manual. Congratulations!

With Diong Jia Ming, CC and Dr Liang, CC achieved their education goals as competent communicator last night, I am proud to announce that our club have now achieved 9 out of 10 goals in the President's Distinguished Club (PDC) program and with it, we have achieved the status of PDC for the 10th consecutive years since chartered (of course we still need to have 20 or more pay up members by March 2010 but I strongly believe that is not an issue for TTDI Toastmasters Club). We have achieved PDC status 5 months into the term. That is indeed a very BIG achievement for all of us at TTDI Toastmasters Club and by the time we attend the club officer's training on 12th of December 2009, we will achieve our 10th goal in the PDC.

I would like to thank every one in the club for the job well done! The reason is that we have achieved the PDC status by November 2009. Merely 5 months into the term. Some of you might say that it is due to the leadership of the club president. But the truth is, we cannot achieve this PDC status without everyone's support and willingness to serve the club. All I did was provide and set a goal for us to achieve.

We achieved the PDC status in such a short time because of the cooperation from everyone in the club. We achieved this because we worked as a Team. Our team comprises of the club officers and all the members of TTDI Toastmasters Club. Everyone in the club did performed well during the meetings, your willingness to take up roles during the meeting, your initiative to complete the project speeches, your enthusiasm to make the point to attend our club meeting and making it the very best to attract new members to join us. Ultimately, the burning desire in everyone to improve. When we add all that to gather, it have made a difference. With it, we achieve the 10th consecutive PDC status 5 months into the term of 2009/2010. Everyone in the club have a hand in helping the club to achieve this. We would not achieve this without your support. Thank you very much. It was really great to work with such a great team.

Even though we have achieved the PDC status in 5 months for the term of 2009/2010, our job is not finish yet. The objectives of the club is to provide a conducive environment for everyone to improve. We still have 7 months to go in the term. Achieving PDC is not the end. That is a goal set by Toastmasters International for the club to strive for excellence. Achieving the President's Distinguish Club Status does not say that our job ends here but a job well done for us to achieve in 5 months. We will continue to help and provide that environment for everyone to improve as we go by the theme of "Towards, Transformation Development and Improvement". We will strive for excellence and help as many people as we can to develop themselves, transform and improve. We will achieve many more President's Distinguished Club status at TTDI Toastmasters Club for the many terms to come. THANK YOU!

With Heartfelt Appreciation,

When Evaluation = Reaction - Words

“Evaluation is the breakfast for champions” can be classified as one famous quote in Toastmasters International.

Just as breakfast is served every morning in various forms ranging from half boiled eggs with toast and coffee to nasi lemak and roti canai, evaluation too comes in many ways, verbal/written as well as direct/implied.

In any club meetings, evaluation begins the minute a speaker takes control of the floor to deliver his/her speech. Do you realize that the evaluator is not restricted to the designated person who reads out the speech objectives to the speaker? Everyone in the meeting room is an evaluator!

During the few minutes while on stage, to the speaker, a nodding smile from the audience denotes that the speech is of good value, a wide grin from ear to ear signifies that it is entertaining and a thumb’s up by the end of the speech applauds louder than any hands’ clapping. The impact of an evaluation can be further heightened by an encouraging handshake with the speaker as the speaker returns to his/her seat. All these non-verbal evaluation tells the speaker one powerful message - “You are doing well. Keep it up!”

In contrast, if we keep frowning that our eyebrows almost make a straight line or roll our eyes and giggle as the speaker speaks, we can be sure the speaker’s enthusiasm would decrease and diminish before the speech ends or the time is up. No positive verbal evaluation (however whitewash) thereafter would convince the speaker that his/her speech has been worthwhile. The damage done would be irreversible.

Apart from that, which one do you think has a greater impact on the listeners – a long speech or a short message? Well, if you are convinced that a lengthy speech with many words twist and turn leaves a deeper imprint in our mind and heart as oppose to short catchy quotes, then ask yourself - why would there be countless compilation of famous quotations and not compilation of famous speeches? How many of us can remember and recite the famous speech by Martin Luther King or presidency winning speech by US President Barack Obama? On the contrary, it is probably easier to recall that Lao Tzu once said “Give a man a fish and you feed him for a day and teach him how to fish and you feed him for a lifetime.” How about Confucius who quoted “I hear and I forget, I see and I remember, I do and I understand.”

Therefore, let’s ponder on this. If theoretically (1) a short message with lesser words has more impact than a long one with more words; (2) action speaks louder than words and (3) reaction minus words equals to evaluation, now go figure the ultimate formulae for an effective evaluation!

"All great things will turn even better with the right attitude, and the right mindset"

TTDI TM meeting nevertheless began with a high spirit from the Presidential speech by the ever committed Mr President himself. With the call of being "Proactive", it gave the opportunity to all members and guests to take the initiative to break the ice and shared bits of how proactive they were in their own means of life.

Then come the fiery lady in red, TM Janice Lee who took control as the Toastmaster Evening of the day. She led the meeting by bringing the audience, the flashback of 85 years anniversary of Toastmasters and the founder, Ralph C. Smedley.

Soon, the members and guests were called to be proactive by participating in the Table topics session led by the charismatic Table topic Master, TM Khor. Challenging yet captivating topics were disclosed and shared by the table topics speakers. TM Jeremy summarised the overall evaluation of the Table topics session and provided new ideas to the speakers on some room for improvements.

After a short break, the 2nd session kicked start with Assignment Speeches. 4 captivating, emotional, fiery and humorous speeches were delivered by TM Han Sen, TM Edmond, TM Jia Ming and TM Kok Loon. How could the speakers improve without evaluation? TM Seetho, TM Peter, TM Xi Wen and TM Ron Leong provided "butter and jam" on how smooth each delivery of speeches, provided "sugar" to stress the strength of the speaker and summed up with "honey", on how to bring out the shine of the speech!

The General Evaluator of the night, TM Ron Leong was very encouraging with his comments and ideas to live up the spirit of Toastmasters. Definitely, looking forward to have him around more often.

The meeting ended with a high notch that we conquered almost 5 tables during the Teh Tarik session!

How to arrange your room?

Fantastic information by Seth G. on how to arrange your room.

Easily overlooked, but incredibly important: the way you arrange the room where people speak.
The venue owner (hotel/convention center) wants something easy. Your boss wants something cheap. You want something tried and true so you don't get blamed. The end result? Mediocrity. Boring sameness. What a wasted opportunity.

In the scheme of things, a great room at a conference is a bargain. Spending what it takes to make it work has a huge payoff. That said, here are some thoughts:
"What does this remind me of?"

That's the subliminal question that people ask themselves as soon as they walk into a room. If it reminds us of a high school cafeteria, we know how to act. If it's a bunch of round tables set for a chicken dinner, we know how to act. And if there are row upon row of hotel-type chairs in straight lines, we know how to sit and act glazed.

If it's a place where we're used to saying 'no', we're likely to say no. If it's a place where we're used to good news or important news or just paying attention, we'll do that.

You can use this Pavlovian reaction to your advantage, or you can be a victim of it. A non-traditional arrangement can make people sit up and take notice. A rock concert feel is going to raise the energy level of even the skeptics. A circle with no tables makes people feel naked. These are tools, and you get to choose.

If you have to serve lunch, serve lunch. Big round tables, lots of talking. Then have people stand up and go hear the speaker. In a different room, with a different setting, one that works. No one ever heard a speech that changed their lives when sitting around a round table having just eaten a lousy lunch. Mixing the settings serves no purpose, wastes time in the long run and saves very little money.

Do you see that this is just more marketing? You tell a story with where you put the chairs.
If you could do one thing, make one choice, it should be this: make the room too small. Standing room only. People hanging into the hall. Watch what happens to your energy level.

If you're speaking TO people as opposed to encouraging a wide ranging discourse, put the stage along the narrow wall of the room. (in a 30 by 80 room, that means the 30 side). Making the room narrow and long is far better than wide, because it puts the audience in the plane of the speaker.

This also makes it far easier for the audience to see the speaker and the slides/screens at the same time. This is critical. I can't tell you how many times I've watched people stare at the screen and avoid the speaker, or find themselves bouncing back and forth.

iMag: That's the projection of the speaker on the screen. This is pretty expensive, but for groups over 500, it's almost mandatory in our 1984esque world. If you want to get far more bang for your buck, hire a second cameraman, with a hand held camera. When you switch from one view to the other, you add enormous action to the event.

Screens: Big screens are a lot more reasonable than they used to be. Get the absolute biggest and brightest you can afford. Bigger! Big screens, near the speaker. Really close to the speaker. That's a big help for the audience and for your energy.

VGA cables: Have more than one. Switchers are cheap. Nothing worse than having speakers stumbling around swapping laptops. And put the cables and the laptops up front, not in back to be controlled by a tech guy who doesn't care quite as much as you (or the speaker) does.
Music: Every time you introduce a speaker, play loud and inspiring pop music. Not for long, but enough to cue people to remember the way they feel at the Oscars and stuff. After all, those memes are there waiting for you to leverage them.

Marching bands: Yes, they're cheap. No, people don't like them particularly. I've seen this done a number of times, and people are more amazed and aghast than impressed.

Aisles: Watch a room fill up. People always sit on the aisle, don't they? Don't do rows of 40 or 50 chairs with no aisle. Have lots of aisles. Every ten chairs or so. Why not? Makes it faster to get in and to get out, and doesn't hurt your density so much.

Lights: Make it dark in the audience. Make it light on stage. This works every time. Practice the lighting in advance, even for a smaller group.

Q&A: For large groups, don't do Q&A. It sucks all the energy out of the room and stilts the end, "Well, if there are no more questions..." Instead, solicit questions from key people in advance, write them on index cards and have someone raring and ready to go with a microphone and a finite list of questions, bang, bang, bang. It's not a press conference, it's a speech.

Small groups: Even groups of two--don't go along with a lousy setting just because that's what is offered to you. Why would you pitch yourself or your project in a noisy restaurant, seated on a banquette, with one person on your left and two on your right? Don't do it.

If you are using a laptop for a small group, get one with a big screen. Get a simple USB remote. Don't use live web access if at all possible. And make sure that the right person sees the screen (and you) at the same time. If you can't do these things, don't use the laptop.

If you're willing to travel to meet with someone, put in the extra effort to do it in a setting that works. Befriend the admin, befriend the maitre d, even from 1,000 miles away. Both you and the person you're meeting with benefit when you create a room that works.

7th Oct 2009 TTDI TM

Date: 7th October 2009 (Wednesday)
Time: 7:45pm - 10:30pm
Venue: Wisma WIM, No. 7 Jalan Abang Haji Openg, Taman Tun Dr Ismail, 60000 Kuala Lumpur.

Theme of the day: Drive
Word of the day: Revive

The meeting started at 8pm. The acting SAA, Peter Sim, CC called the meeting to order at 8.00pm.

The president Cheong Kuok Sum, ALB began to give his welcoming remarks and proceed to invite all guest and toastmasters to introduce themselves. In this meeting, we had 8 different toastmaster clubs joining us. Everyone then tried to incorporate the word of the day “Revive” in their introduction. TM Daniel Goh with pride and confidence took over the role as our TME.

In this meeting, we had the honor to have Irene Lee, CTM, CL, as our General Evaluator.

Soon after that, it was time for the table topic session where Angel Lim, TM provided us with 4 challenging topics during the Table Topic Session. The members that had participated during the Table Topic Session were:

1.TM Tang Sum Chee with the given topic: My motto is to achieve one must have the desire, the drive and the determination. What is your motto?
2.TM Marcus with the given topic: 'Drive something home'. In this meeting what do you want drive home the audience?
3.TM Grace Loh with the given topic: Tell us your success story and what was your drive to make it succeed?
4.TM Roon with the given topic: If you could choose anything to talk relating to the theme of the day "Drive" what would you talk about?

After the Table Topic Session, we had our Humor Session that was conducted by none other than the Division W Humorous Speech Champion, Lee Xi Wen, ACB, CL.

Grace Loh, CC, CL, then gave her evaluation to the Table Topic Speakers.
We took a break for refreshments after the marvelous Table Topic Evaluation by Grace Loh, CC, CL.

The meeting was called back to order at 8.50pm by TM Peter Sim, CC and taken over by our TME, Dainel Goh, TM to introduce the Assignment Speakers for the day.
They were;

Diong Jia Ming, TM who attempted speech no. 7 “Research Your Topic” from the Competent Communicator Manual with the speech title “Bullying”. She awakened us on the bullying going on now a days, especially in school.

Seetho Whye Kit, CC attempted his 10th speech “Inspire your audience” from the Competent Communicator Manual with the speech title “You'll only change, when you change your state”. Really inspired the audience and drilled the take home message into us the audience.

Janice Lee, ACB, CL attempted a rather challenging topic from the advance manual, Specialty Speeches – Speak Off the Cuff, where she needed to prepare 5 speech titles and her evaluator would pick one of the five topics for her to speak from. The speech titled “Love is in the air” was chosen. Without a doubt she filled the atmosphere of the room with love.

Lee Xi Wen, ACB, CL attempted a speech from the advance manual, Persuasive Speaking - The Effective Salesperson, with the speech titled “Basic Selling”. For this speech he needed a role player. Thus Han-Sen, TM was chosen as his role player. The session was split into three parts. In the first part he introduced the basics of selling. The second session, Han-Sen played the role of the customer and Xi Wen as the salesman. Finally in the third part, Han-Sen and the audience were requested to evaluate on Xi Wen's performance as the salesman. All in all it went well as the audience were definitely entertained with the convincing persuasive approach that he had made.

The four Assignment speeches were evaluated by their respective evaluators:
TM Peter Sim, CC who evaluated Diong Jia Ming's speech.
TM Charlie Fong, ATMS who evaluated Seetho's speech.
TM Tang Sum Chee, DTM who evaluated Janice's speech.
TM Marcus, who evaluated Xi Wen's speech.

After 8 great speeches and evaluations, the general evaluator Irene Lee, CTM, ALB called for the role players to give their reports, the AH counter played by Lee Han-Rick, TM. The Grammarian played by Raja Ahmad Muzamir, CC, CL. The Rhetorical Master played by Cheong Kuok Sum, ALB, and the Time Keeper played by Jeremy Tok, CC.

The awards were presented to;
Best table topic speaker: TM Grace Loh,
Best assignment speaker: TM Seetho Whye Kit,
Best evaluator : TM Peter Sim.

Overall, It was indeed another remarkable meeting for TTDI TM club to be moving forward, to grow and to shine many more great and outstanding people, just like ME and YOU!!!
